Real estate
A vendor’s bottom line is worth what you know it’s worth. Protect it.
Every real estate transaction is a negotiation held on incomplete information. Vendors trust you with their bottom line. Buyers trust you with their approval limits. The gap between what each side knows is where the deal is done. Staff use AI to draft listings, contracts, buyer emails and appraisals — and the useful version of every one of those requests involves numbers and circumstances that were not supposed to leave the office.

Agency legislation, AML/CTF and privacy all care about how you handle client data
State-based real estate legislation requires agents to hold client information in confidence, and trust account rules require strict handling of transaction data. Real estate agencies are also under increasing AML/CTF obligations — including identity verification documents that are exactly the material Privacy Act sensitive-information rules were written to protect. And every listing engagement contains express or implied confidentiality about vendor circumstances.
Where it’s happening
The four places we see it most
None of these are careless people. They are competent staff doing the work faster, using a tool that is genuinely good at it.
Buyer negotiations
Buyer position, approval status and personal circumstances pasted in to help draft a reply, revealing exactly what a vendor should not know.
Appraisal preparation
Vendor circumstances, motivation and reserve figure submitted so the AI can draft a compelling document — the vendor’s negotiating position in one request.
ID verification documents
Driver’s licences and passports uploaded to summarise or reformat, transmitting the highest-sensitivity personal information available.
Property management correspondence
Tenant circumstances, rent arrears and dispute detail pasted in to help write firm-but-fair replies, transmitting sensitive information about vulnerable people.
The alternative
Same capability, nothing leaves
A private system does not ask your team to give anything up. It does the same work on the same documents — it simply does it on a machine you own, sitting in your own office.
See how it works →- Draft buyer and vendor correspondence with real numbers, not sanitised ones
- Produce appraisals and marketing copy against actual vendor circumstances
- Handle ID and AML/CTF documents without a cross-border transfer
- Draft property management correspondence with sensitivity handled properly
- Give every office AI capability at a fixed cost regardless of volume
Real Estate Agencies: common questions
- Is this really different from using PropTree or Rex's AI features?
- Yes — architecturally. Purpose-built proptech is a known vendor under a defined agreement, usually with Australian data residency. That is a managed risk. The unmanaged risk sits in the free chatbot on the sales agent's personal phone at 8pm, where the negotiation is really moving. On-premise closes that second gap.
- Property managers and sales agents are constantly on their phones. Will this actually get used?
- Only if it is genuinely faster than the alternative. We configure it to be reachable from a phone browser and to answer within seconds, which is the bar. If it is slower or harder to log into than a public tool, it loses on friction alone. That is the reason we scope hardware to the actual workload rather than the cheapest option that technically works.
